How to plan a family get-together
To plan a family get-together, decide who has to be there, offer three to five dates, set a deadline for answers, then keep the date you pick. For a birthday, a Sunday dinner or a holiday at someone’s house, that takes about three weeks: a few days to settle the date and two weeks’ notice before it. A family get-together isn’t a family reunion, but Google treats them as one. On October 10, 2026, every one of the top 10 Google results for “how to plan a family get together” was a family reunion guide, and Google’s AI Overview opened with “Planning a family reunion starts 9 to 12 months in advance.” That’s sound advice when cousins fly in, book hotel rooms and split a rented pavilion. It’s the wrong timeline for Grandma’s 80th at your sister’s house. Plan that one in weeks.
Then we built the one thing a family planner checks first: a 2026–27 table of school breaks for the 10 largest US school districts, each row from the district’s own calendar, plus the year’s three-day weekends from the federal government’s holiday list. All 10 districts are off on Thanksgiving Thursday and Friday (November 26–27, 2026), and all 10 are off from December 24 to January 1. Spring break is where families collide: it runs from March 8 in Houston to April 30 in New York City, and only six of the 10 share the same week.

We pulled the US results page for “how to plan a family get together” on October 10, 2026. Every one of the top 10 results has “family reunion” in its title. Mrs. Fields holds two of the ten spots with the same page.

Search data shows Google treats the two phrases as one: in search-engine data, “planning a family get together” (1,600 searches a month in the US) has the same monthly curve as “family reunion planning,” peaking at 4,400 in July and August. People who type “get-together” still get reunion checklists, committee advice and venue lists. If your plan is dinner at Mom’s, you can skip most of it.
How far in advance should you plan a family get-together?
About three weeks for a get-together at someone’s home, and 9 to 12 months for a reunion with travel and a venue. Three weeks is our working rule, not a measured standard: it gives you a few days to pick the date and two weeks’ notice, which is enough for most people to move a shift or a soccer game. Give it longer when:
- someone has to fly, book a hotel or ask for time off,
- you’re aiming at a holiday weekend, when other plans fill in early,
- the date has to fit around a school break (the table below has 2026–27 dates).
Planning further out than you need has a cost too. A Reddit commenter put it plainly: “People with kids can’t commit too far out either.” Another described the opposite problem, a sibling who decides last: “Every holiday/get together my sibling seems to drag out making a decision until the last moment.” Both are anecdotes, and both are why a deadline matters more than an early start.
The three-week plan
Days 1–2: name the must-haves
Write down who has to be there for the day to count: the birthday person, Grandma, the cousin flying in, the family with three kids’ sports schedules. Plan around them first. Everyone else gets the best date you can find, not a veto.
Days 2–3: pick three to five dates
Don’t ask “when is everyone free in November?” Offer three to five specific days. Check the school calendar for every family with kids (the 2026–27 table is below), the three-day weekends, and anything the must-have people already told you. Fewer options get answered faster; more than five starts to look like homework.
Days 3–6: send one poll, with a deadline
Send a single link to the family group text with a line like: “Which of these work for Mom’s birthday? Answer by Thursday night and we’ll go with the day most people can make.” Camp makes Find a date. Every other tool’s details below are from its own site, checked October 10, 2026.
- Find a date (Camp, free): people open the link in any browser, type a first name and tap Yes, If needed or No for each day. No app, account, email or phone number for anyone.
- Rallly (free plan): “Participants don’t need to sign up.” Its site says “We do not show ads or sell your data,” and the free plan has no limit on polls or voters. It’s a web tool with no app.
- Doodle: making a poll “now requires the creation of a free or paid account,” and participants are asked for a name and email. Its pricing page lists “One Group Poll” on the free plan, and free polls show ads.
- WhatsApp and iMessage polls: fine if the whole family is in one chat. WhatsApp polls have no “maybe” and iMessage polls need iOS 26 or later for everyone who votes.
Day 7: set it, and keep it
When the deadline passes, pick the day with the most yes answers and announce it. Don’t reopen it because one person can’t come. The top answer in a Reddit thread about planning a family reunion said it best: “Set a date and keep it. You’ll never have everyone in agreement. Those that want to be there will be.”
Days 7–8: send the details in one message
Date, start time, address, who’s hosting, and what each household brings. If it’s a potluck, assign dishes by household, so you don’t end up with four potato salads.
Day 20: the reminder
The day before, send one short reminder with the time and address. That’s the whole plan: three messages to the family (the poll, “it’s on,” the reminder), not a hundred.
2026–27 school breaks in the 10 largest US school districts
Which weekends work depends on the kids’ school calendars, and those differ more than you’d think. We took the 10 largest school districts in the 50 states and DC from the National Center for Education Statistics (its current table uses fall 2021 enrollment) and read each district’s own 2026–27 calendar on October 10, 2026. Dates are days with no school for students.

What it means for a family plan:
- Thanksgiving is the safest bet. Every district is off Thursday and Friday, November 26–27, and seven of the 10 are off the whole week.
- Late December works everywhere. All 10 are off from December 24 to January 1, so a get-together between Christmas and New Year’s won’t pull any of these kids out of school. LAUSD’s break is the longest, three weeks to January 8.
- Spring break doesn’t line up. Breaks run from March 8 (Houston) to April 30 (New York City). The week of March 22–26 is the most common, shared by six of the 10. If cousins live in different districts, check each calendar before you offer dates.
- Calendars can still change. Clark County and Broward print “subject to change,” and LAUSD’s adoption is tentative pending union negotiations. Check your district’s page before you book anything.
NCES’s newer district counts (2024–25) move Gwinnett County, Ga., into the top 10 and Houston to 12th. Gwinnett’s spring break is April 5–9, 2027, and Fairfax County, Va., is off March 22–26; both have Thanksgiving and winter breaks inside the ranges above.
2026–27 three-day weekends and holidays
For a one-day get-together, the three-day weekends are the easy wins: more people are off, and nobody has to choose between dinner and driving home. These are the federal holidays from the Office of Personnel Management, with the day off federal workers get when a holiday falls on a weekend. Your own employer’s holidays can differ.

All 10 school districts above are closed on Martin Luther King Jr. Day, January 18, 2027. On Presidents’ Day, February 15, nine list no classes (New York City’s whole midwinter recess runs February 15–19), and Palm Beach lists it as a staff day. Orange County names February 15 as its first make-up day if storms close schools. For summer, one Reddit commenter’s advice on reunions was “Labor day or memorial day weekends are a good schedule to set and keep.”
When a get-together turns into a reunion
The reunion guides are right once your plan has any of these:
- Overnight guests from out of town. Then dates have to work with flights, hotel blocks and time off, and months of notice help.
- A venue to book. Park pavilions, camp sites and rental houses take reservations, and the popular summer weekends go first.
- A shared budget. Once money is pooled, you need someone keeping track, and the “committee” advice in the guides starts to make sense.
- More than one branch of the family. If the guest list includes people who haven’t met, you’re planning a reunion, whatever you call it.
For those, start 9 to 12 months out, as the guides say, and use a date poll for the weekend before you book anything.
